- Rental of the common room is only available to residents of Vestergade Kollegiet.
- The room can be rented by submitting a request via Vestergadekollegiet.dk under the “common room” section.
a) The request must include full name, address, and a phone number where the applicant can be reached. - Rental of the common room costs 100 DKK. In addition, a deposit of 500 DKK is required when renting the common room.
The total amount of 600 DKK must be paid in cash when the keys to the facility are handed over and the rental contract is signed. This takes place at the beginning of the rental period, where the tenant and a member of the board meet in the common room. The deposit is returned upon return of the keys and the room being cleaned.
If an event is held where all residents are invited, the rental of the common room is free of charge.
- When holding parties where the sound system is used, doors and windows must remain closed.
- Rules regarding the use of the sound system:
a) Sunday to Thursday, the sound system must generally be kept at an acceptable level and switched off at 00:00 (midnight).
b) On Friday and Saturday, the sound system must be switched off no later than 02:00.
c) During exam periods (10 December–31 January and 10 May–30 June), the sound system must be switched off at 22:00 on weekdays and at 00:00 on weekends. - In the event of complaints from neighbours, a board member may close a party after the third complaint. If you wish to complain about noise from the common room, you may contact a member of the board. Contact details can be found on the website and on the notice board in building D.
- The common room is rented for a period of 23 hours, typically from 15:00 to 14:00.
- The common room can be booked up to 3 months in advance. The board reserves the right to reject bookings on dates where no board members are present at the dormitory. In particular, during the periods 1 July–15 August, Easter, and between Christmas and New Year, it cannot be guaranteed that board members are present.
For New Year’s Eve rentals, a lottery system is used among those wishing to book the room. The draw takes place on 1 November. Entries must be submitted no later than 12:00 the day before the draw.
- The common room must be returned in a clean and tidy condition (exact cleaning requirements can be found on the website). Please note that tea towels and dishcloths must be brought by the tenant.
- After the rental period, the board checks that cleaning has been carried out satisfactorily and that all inventory is intact. In case of missing or damaged items, the cost will be deducted from the deposit based on a specific assessment of the damage. If cleaning is not sufficient and the tenant does not wish to improve it, the tenant will be charged for a professional cleaning service.
- By signing the rental agreement, the tenant agrees to cover any damages and cleaning costs that exceed the deposit amount.
- Violation of these rules will result in a warning and a 6-month ban from renting the common room. Two warnings will result in a permanent ban from renting the common room.
- The common room may not be used for overnight stays due to fire safety regulations. Furthermore, according to the fire authorities, a maximum number of persons (x) is allowed in the room.
