Rules for renting the common room (scroll for calender)

1)  Only residents in Vestergade Kollegiet are allowed to book the common room

2)  The room can be booked by sending an email to the estate committee. Inform you full name,                 address and a contact phone number. 

3) Renting the common room costs DKK 100,-, with an additional DKK 500,- DKK when booking.

The total amount of 600 DKK is to be paid in cash when receiving the keys and signing the rental contract. You must do that when the lease period begins and the tenant and the member of the estate committee meet in the common room.

The deposit is refunded when the keys have been returned and the room has been cleaned. 

If an event is held where all residents are invited, the rental of the common room is free.

4) During parties using the sound system, doors and windows must be kept closed.

5) Rules regarding the use of the sound system:

a. Sunday to Thursday, the system should be kept at an acceptable level and turned off by midnight.

b. On Friday and Saturday, the system must be turned off by 02:00.

c. During exam periods (December 10 - January 31 and May 10 - June 30), the system must be turned off at 22:00 on weekdays and at midnight on weekends.

6)     In case of complaints from neighbors, a member of the estate committe may shut down a party after the third complaint. If you wish to complain about noise from the common room, contact one of the members of the estate committee. Contact information is available on this website and on the notice board in building D.

7)   The common room is rented for a period of 23 hours, typically from 15:00 to 14:00.

8)   The common room can be booked up to 3 months before the desired rental date. The estate committe reserves the right to reject bookings and rentals on dates when none of the members are present at the dormitory. Especially during the periods July 1-15, August 1-15, Easter, and between Christmas and New Year's, there may not be board members present.

For New Year's Eve bookings, a lottery will be held among those who wish to rent it. This drawing takes place on November 1. Entries must be submitted by 12:00 the day before the drawing.

9)  The common room must be returned in a cleaned and tidy condition (specific cleaning requirements can be found on the website). Note that you must bring your own dish towels and cloths for this.

10) The estate committe checks after each rental that the cleaning is satisfactory, and all inventory is intact. If there are deficiencies, the amount is deducted from the deposit after a specific assessment of the size of the deficiency. If cleaning is inadequate, and the renter of the common room does not do more, the renter pays for a cleaning company at their own expense.

11)  When signing the rental contract the renter agrees to cover damages and cleaning that may exceed the deposit amount.

12) Violation of this regulation will result in a warning and a six-month ban from renting the common room. Two warnings will lead to permanent exclusion from renting the common room.

13) The common room may not be used for overnight stays due to fire safety regulations. Additionally, according to fire safety regulations, there is a maximum limit of X persons in the room.

Cleaning of the common room

Cleaning Responsibilities:

  1. After the rental period, the common room must be left in a cleaned and orderly state.

  2. Cigarette butts, cans/bottles, and other waste must be removed from the courtyard and the stairs leading to Building D.

  3. Wipe all surfaces in the common room with a damp cloth, vacuum the carpet, and sweep and mop the kitchen floor.

  4. Ensure the toilet is cleaned, and the toilet floor is washed.

  5. Empty the dishwasher and place the dishes in their respective locations.

  6. Clean the stove and empty the waste bags.

Important Notes for Common Room Rental:

  • You can book the common room by emailing vestergadekollegietsbestyrelse@kollegiekontoret.dk.

  • In this email, specify the desired rental date, your name, and apartment number. The booking is not confirmed until you receive a confirmation email.

  • Key handover for the sound system and signing of the rental contract will occur on the day of the rental, starting at 3:00 PM. If you cannot be present at this time, please mention it in the first email so the estate committee can arrange an alternative time.

  • The money for booking the the common room and the deposit must be paid in cash at the beginning of the rental period.

  • You must return the key to a member of the estate committe at 2:00 PM at the end of the rental period in the common room. A member of the estate committee will check the cleaning and refund the deposit if there are no damages or cleaning issues. If you cannot be present at 2:00 PM on the following day, please mention it in the first email.

  • Keys must be personally handed over to a member of the estate committee  and must not be dropped off in the common room or mailboxes.
